To: AUSA Sustaining Members

Subject: 2014 AUSA Annual Meeting Exhibit Space Draft

The purpose of this memorandum is to inform Sustaining Members of the opportunity to reserve exhibit space for the 2014 AUSA Annual Meeting, and to provide details regarding the policies and procedures for the selection of space.

The 2014 Annual Meeting Exhibit Space Draft will be held 21-23 October 2013, from 9:00am – 5:00pm on each day, in the AUSA Exhibit Sales Office, located just beyond the AUSA Registration area in Room 102 at the Walter E. Washington Convention Center. AUSA will again use EXPOCAD event management software to facilitate the selection process.

As you know, in order to keep the exhibits balanced on two levels, AUSA implemented The Centerpiece Program. The top 20 Sustaining Member companies on the Order of Merit List (OML) – which is used to determine the order in which space is booked – will alternate between the two levels each year. A pre- draft for these 20 Sustaining Members will be held on 20 October in Room 102 of the Walter E. Washington Convention Center.

The following policies will apply to the selection of exhibit space for the 2014 AUSA Annual Meeting:

  • The AUSA Annual Meeting & Exposition remains a Members Only Show
  • Sustaining Member Companies may book space on both floors
  • The maximum booth size allowed for each Sustaining Member exhibitor will be 14,000 square feet
  • Booth dimensions that cause aisle displacements will not be permitted (example, 30’X30’, 30’X60’, etc.)

As in the past, AUSA will allocate exhibit space based on the OML ranking for each Sustaining Member exhibitor. The schedule for the 2014 Annual Meeting exhibit space draft follows this memorandum.

Please arrive no sooner than 10 minutes prior to your scheduled start time. Because of limited space we ask that only your authorized representative be present. At your scheduled start time you will be directed to an AUSA representative who will assist you in the space selection process.

Sustaining Members who wish to participate in the 2014 Annual Meeting but are unable to attend the exhibit space draft must authorize AUSA to select space for their firm via proxy. A short reply form follows this memorandum.

If we do not hear from your company, we will assume that you do not wish to have exhibit space at the 2014 Annual Meeting. Even if you plan to have a representative present at your scheduled start time, you must return the reply form NLT Tuesday, 15 October 2013.

Each exhibitor will be given a copy of the contract for exhibit space. Based upon the contract, your firm will be invoiced in November 2013 for the value of the selected space. Payment will be due NLT Friday, 3 March 2014. The exhibit space contract serves as the only official method to reserve exhibit space for the 2014 AUSA Annual Meeting.

The cost for exhibit space at the 2014 Annual Meeting will be $49.00 per square foot. Each single booth measures 10’X10’ or 100 net square feet total. The ceiling height in Halls A, B, C, D & E will support multi- level displays. In addition to the cost for the ground level, multi-level displays will be charged 25% of the floor rate for the total occupied space on the 2nd level.

There will be no outdoor displays at the 2014 Annual Meeting. Halls A, B, C, D & E will support any equipment you wish to display.
